How it works

Follow these 4 simple steps to start automatically adding detailed Infinite Options product information to your Airtable database

Order Created

App connector: Infinite Options • Time to complete: 0 minutes (Auto-configured)
Why this matters: This trigger starts the entire workflow whenever a new order containing Infinite Options products is placed, ensuring you never miss capturing customization details.

This step automatically monitors your Infinite Options orders and fires when a new order is created. The trigger captures all order information including line items, customer details, shipping address, and any custom field data from Infinite Options. No configuration is needed - it's ready to detect orders as soon as you activate the workflow. The complete order data gets passed to the next step for processing.

Retrieve Shop

App connector: Shopify • Time to complete: 0 minutes (Auto-configured)
Why this matters: This step pulls your Shopify store's domain information, which is needed to create direct admin links to orders in your Airtable records.

This step automatically connects to your Shopify store and retrieves essential store information, particularly your myshopify domain name. The domain data is used later in the workflow to generate clickable order URLs that take you directly to the order page in your Shopify admin. No configuration is required since it uses your existing Shopify connection. The store data combines with order information to create fully functional admin links.

Loop through line items

App connector: Loop • Time to complete: 0 minutes (Auto-configured)
Why this matters: This loop processes each individual line item in the order separately, ensuring every product with its specific customizations gets its own row in Airtable.

The loop iterates through each line item in the Infinite Options order, processing them one by one rather than as a batch. This means if an order contains 3 different customized products, you'll get 3 separate Airtable records with individual product details and customization data. The loop extracts line item data including product name, SKU, price, and any custom fields from Infinite Options. Each iteration passes individual line item data to the Airtable creation step.

Add Record

App connector: Airtable • Time to complete: 2 minutes
Why this matters: This step creates the actual Airtable record with all the order, customer, and product customization details organized in a structured database format.

You'll need to connect your Airtable account and select your base and table called "Line Items" where the records will be created. The step automatically maps order information (Order URL, Order Name, Email), shipping details (Shipping Name, Address, City, Province, Zip, Country), and product data (Product Name, Product SKU, Product Price) into your Airtable fields. The infinite_options field captures custom product options from Infinite Options. Make sure your Airtable table has columns matching these field names, and the workflow will populate them with each order's data.

Make it your own

Customize this workflow even further:

Track custom fields differently
Modify the Airtable mapping to capture different Infinite Options custom fields or rename columns to match your business terminology, like changing "infinite_options_1" to "Engraving Text" or "Custom Message."
Add order fulfillment tracking
Connect additional steps to update order status in Shopify, send confirmation emails to customers, or create tasks in project management tools when customized products need special handling.
Calculate profit margins automatically
Use Transform steps to calculate profit margins by subtracting product costs from prices, then store those calculations in additional Airtable fields for business intelligence.
Create customer segments based on customizations
Add conditions that analyze the custom options data and automatically tag customers in your CRM based on their personalization choices, helping with targeted marketing campaigns.

Frequently asked questions

Will this capture all the custom options from products?
Yes, the workflow captures all line item properties regardless of whether they're from Infinite Options or other customization apps. The loop processes every line item in the order, and the property mapping automatically includes all custom fields attached to products, whether that's text personalization, color selection, size options, or any other customizations.
What happens if an order has both regular products and products with custom options?
The workflow processes all line items in every order. Products with custom options will have their properties captured in the property fields, while regular products without customizations will have empty property fields. Every product in the order gets its own Airtable row regardless of whether it has custom options.
Can I modify this to work with a different spreadsheet tool instead of Airtable?
Yes, you can replace the "Add Record" step with connections to Google Sheets or other database tools. The order data and loop structure remain the same—you'll just need to map the fields to your preferred destination's column structure and ensure your destination handles the line item properties appropriately.
