This workflow checks every morning: it pulls yesterday's paid Shopify orders, searches Xero for an invoice that references each order number, and posts a Slack message for any order that is missing, so your books stay complete without waiting for month-end reconciliation.

How it works

6 steps to know every morning which Shopify orders never reached Xero

App connector: Schedule • Time to complete: 1 minute

Run once a day, for example at 7am, covering the previous calendar day.

App connector: Shopify • Time to complete: 1 minute

Get orders created yesterday with financial status paid, including the order name, customer name, total, and created date.

App connector: Loop • Time to complete: 1 minute

Go through the orders one at a time.

App connector: Xero • Time to complete: 1 minute

Search sales invoices where Reference, or InvoiceNumber if that is where your sync app writes it, equals the Shopify order name.

Continue only when no invoice was returned.

Post to your bookkeeping channel with the order name, customer name, total, and a Shopify admin link. Including the customer name helps spot the common cause, a contact name that already exists in Xero.

FAQs

Where does my sync app put the Shopify order number?

Open one synced invoice in Xero and check whether the order number shows in Reference or as the invoice number itself. Search on that field in the lookup step.

Does this change anything in Xero?

No. It only reads from Shopify and Xero and posts to Slack, so it is safe to run next to any sync app.

Can it create the missing invoice for me?

Yes, but only once you trust the alerts. Replace the Slack step with a Xero invoice step, and first check that the contact exists so you don't hit the same duplicate-name error again.
