How it works

Follow these 3 simple steps to start transcribing meetings and sending notes to Slack automatically

Transcript Ready

App connector: Recall • Time to complete: 0 minutes (Auto-configured)
Why this matters: This trigger captures completed meeting transcripts the moment Recall finishes processing, enabling immediate note generation that delivers meeting documentation while discussions are fresh and action items are top-of-mind.

When Recall completes transcribing a meeting, this trigger activates the workflow and captures {{recall.transcript}} which contains the full conversation with timestamps and speaker identification in the format "[hh:mm:ss] Speaker Name: text". The workflow runs for every meeting transcribed by Recall.

Setup requirement: You must have Recall configured to record and transcribe meetings.

Prompt

App connector: AI • Time to complete: 2 minutes
Why this matters: Uses AI to intelligently read the entire meeting transcript, understand context and importance, extract key decisions and next steps, and format findings into structured notes that teams can act on immediately.

This step sends the transcript to AI with specific instructions for analysis. The AI prompt directs it to:

  1. Create a concise 2-3 paragraph summary of the conversation
  2. Extract a clear list of any action items, decisions, or follow-ups mentioned
  3. State "No action items found" if none exist

The AI receives {{recall.transcript}} (the full meeting transcript with timestamps and speakers) and processes it to understand conversation flow, identify commitments and decisions, and distinguish important points from casual discussion. The structured output is returned as {{ai.response}} with formatted sections for summary and action items.

AI capabilities: The AI understands meeting context like who committed to tasks, deadlines mentioned, decisions made, and can distinguish between actual action items versus casual mentions. It maintains speaker attribution for accountability.

Send Message

App connector: Slack • Time to complete: 3 minutes
Why this matters: Delivers the AI-generated meeting notes to your team's Slack channel, ensuring immediate visibility of decisions and action items without requiring manual note distribution or email follow-ups.

This step posts the AI's analysis to Slack.

Configuration: You must select your Slack channel during setup—first invite the MESA Slack app to your desired channel by typing @MESA and clicking Invite (required for private channels), then select that channel in the configuration dropdown. The message contains {{ai.response}} (the formatted meeting notes with summary and action items). The markdown_text parameter enables formatting like bullet points, bold text, and sections that make notes scannable.

Message format: The AI returns structured notes with clear sections like "Summary:" and "Action Items:" that display as formatted Slack messages with proper spacing and bullet points.

Make it your own

Customize this workflow even further:

Customize note format
Modify the AI prompt to change output structure—add sections for key quotes, attendee list, time allocation analysis, or parking lot items for more detailed meeting documentation.
Route to different channels by meeting type
Add conditional logic that checks meeting title or participants from Recall data and sends notes to different Slack channels based on meeting type (engineering to #eng, sales to #sales-team).
Create task tickets from action items
Add steps after AI analysis that parse the action items and create tasks in Asana, Jira, or Linear with assignees extracted from the transcript, turning meeting decisions into trackable work items.
Email notes to meeting participants
Add or replace Slack with email steps that send notes to meeting attendees identified in Recall's participant data, ensuring everyone gets documentation regardless of Slack access.

Frequently asked questions

Can I customize what information the AI extracts from meetings?
Yes, edit the "Prompt" step and modify the content field to change what the AI analyzes. You can ask for key quotes, parking lot items, attendee contributions, time spent per topic, or any other information extractable from the transcript.
Will this work for meetings in languages other than English?
If Recall provides transcripts in other languages, the AI can analyze them. However, accuracy varies by language. For best results, specify the language in the AI prompt (e.g., "Transcript is in Spanish. Provide summary in Spanish.").
What happens if the meeting had no meaningful content or action items?
The AI will still generate a summary describing what was discussed and explicitly state "No action items found" when there are no commitments or follow-ups. This prevents false positives and provides clarity about meeting outcomes.
What is a template?
