Send Square Sales to Airtable

5 min setup
No coding required
Runs automatically

Square's dashboard shows your counter sales, but if your team plans, reports or reconciles in Airtable, those sales have to be exported and imported by hand. This workflow watches Square for orders that reach the Completed state, checks Airtable so no sale is logged twice, and adds one record per sale with the order ID, date, location, customer, items, tax, tip and total.

How it works

5 steps to log every completed Square sale in Airtable

Square logo icon

Square reports a changed order

App connector: Square • Time to complete: 1 minute

Run when a Square order is updated, which includes the moment a sale is paid and its state changes to COMPLETED.

Keep only completed, fully paid orders

App connector: Filter • Time to complete: 1 minute

Continue only when the order's state is COMPLETED. Square marks completed orders as fully paid; OPEN, DRAFT and CANCELED orders are skipped.

Airtable checks if this sale is already logged

App connector: Airtable • Time to complete: 1 minute

Search the sales table with a filterByFormula that matches the Square Order ID field to this order's ID, returning at most one record.

Skip sales that already have a record

App connector: Filter • Time to complete: 1 minute

Continue only when the lookup returned no records, so a later update to the same order never creates a duplicate.

Airtable adds a record for the sale

App connector: Airtable • Time to complete: 1 minute

Add a record with the Square order ID, created date, location ID, customer ID, a text list of line items with quantities, total discount, total tax, total tip and total money, plus a Source field set to Square.

FAQs

Why does this use Order Updated instead of Order Created?

A Square order can be created before it is paid. Watching for updates and keeping only orders in the COMPLETED state means only finished, fully paid sales reach Airtable.

Will a sale ever be logged twice?

No. Before adding a record, the workflow searches Airtable for the Square order ID and stops if a record already has it.

Can I log one record per item instead of one per sale?

Yes. Add a Loop step over the order's line items before the Add Record step and write one record per item, with the Square order ID on each so they can be grouped.

Personalize this template

Customize this workflow even further:

One record per line item
Loop over the order's line items and add a record for each, which makes item-level reporting in Airtable easier.
Only log one location
Add a condition on the location ID to the first filter if only one shop's sales belong in this table.
