Send Shopify Subscription and One-Time Orders to Salesforce

5 min setup
No coding required
Runs automatically

Sales teams often need to see in Salesforce whether a Shopify purchase was a recurring subscription or a one-time order. This workflow runs on every new Shopify order, splits subscription and one-time purchases into two paths, finds or creates the customer's Salesforce Account and Contact, and creates a Salesforce Order linked to both with the right purchase type.

How it works

5 steps to log every Shopify order in Salesforce, typed as subscription or one-time

Shopify Order Created (Trigger)

App connector: Shopify • Time to complete: 1 minute

Runs for every new Shopify order.

Paths

App connector: Paths • Time to complete: 1 minute

Split the order into two paths: subscription orders (the order contains a subscription product, identified by its selling plan, a product tag, or the order tag your subscription app adds) and one-time orders (everything else). Each path runs the same steps below with a different purchase type.

Salesforce Create or Update Account

App connector: Salesforce • Time to complete: 1 minute

Find the customer's Salesforce Account (by company name, or by the customer's name for individual buyers) and create it with the order's billing details if it doesn't exist.

Salesforce Create or Update Contact

App connector: Salesforce • Time to complete: 1 minute

Find the Salesforce Contact by the order's email and create it if it doesn't exist, linked to the Account from the previous step.

Salesforce Create Order

App connector: Salesforce • Time to complete: 1 minute

Create a Salesforce Order linked to the Account, with the Contact as its bill-to contact, the Shopify order number as the reference, the order date and total, and the purchase type for this path (Subscription or One-Time) in the order's Type field or a custom purchase-type picklist.

FAQs

Why does a Salesforce step fail with a permissions error?

Each Salesforce field MESA reads or writes needs field-level security access for the connected user. Open the field in Salesforce Setup, grant access to that user's profile or permission set, then retrieve the fields again in the MESA step.

How do I move this workflow from a Salesforce sandbox to production?

Turn the workflow off, connect your production Salesforce account in MESA, select it on every Salesforce step, and retrieve the fields again in each step so they match production. Repeat the field permission setup in production, then test with one order before turning the workflow back on.

What happens to an order with both subscription and one-time products?

It follows the subscription path, because the path checks whether any line is a subscription. If you want mixed orders split into two Salesforce Orders, add a third path for them.

Will it create duplicate Accounts or Contacts?

No. The create-or-update steps match existing records first and only create one when nothing matches.

Personalize this template

Customize this workflow even further:

Add order products
Loop over the Shopify line items and add a Salesforce Create Order Product step for each one, matched to a Pricebook Entry by SKU.
Track subscriptions as Opportunities instead
On the subscription path, swap Create Order for Create Opportunity so recurring revenue shows up in your Salesforce pipeline reports.
