Log Shopify App Refunds to Google Sheets Automatically

4 min setup
No coding required
Runs automatically

Keep your team in the loop by automatically sending refund and customer details to Google Sheets. When a refund is issued in Mantle, this workflow adds all the key information, like the customer’s name, email, and refund amount, as a new row in your Google Sheet. It’s an easy way to give your support and finance teams real-time visibility, track trends, spot issues, and follow up when needed.

How it works

3 steps to start capturing customer refund details in Google Sheets

Customer Refunded

App connector: Mantle • Time to complete: 0 minutes (Auto-configured)
Why this matters: This step detects whenever a customer receives a refund and kicks off the entire workflow automatically.

This trigger monitors your store for refund events and captures essential refund data including customer ID, transaction amount, and refund date. The trigger runs automatically in the background - no configuration needed from you. When a refund occurs, it immediately passes the refund details to the next step to begin building your spreadsheet record.

Retrieve Customer

App connector: Mantle • Time to complete: 0 minutes (Auto-configured)
Why this matters: This step fetches complete customer information needed to populate your spreadsheet with meaningful details beyond just the refund transaction.

This step automatically looks up the customer record using the customer ID from the refund event. It retrieves the customer's name, email address, tags, notes, and other profile information that wasn't included in the original refund trigger. This enriched customer data gets combined with the refund details and passed to Google Sheets for a complete record.

Add Row

App connector: Google Sheets • Time to complete: 2 minutes
Why this matters: This step creates the actual spreadsheet entry with all your refund and customer data organized in the columns you specify.

This step connects to your Google Sheets account and adds a new row for each refund with the data you've selected. You'll configure your spreadsheet name in the "What do you want to name your spreadsheet?" field - something like "Customer Refunds 2024" works well. Then choose which columns to include from options like Customer ID, Customer's Name, Customer's Email, Shopify Domain, Refund Amount, Date Refund Was Issued, Tags, and Notes. The workflow automatically creates the spreadsheet if it doesn't exist and populates it with your chosen data points.

Frequently asked questions

How can I include the reason for the refund in my spreadsheet?

The current workflow captures transaction-level data, but refund reasons aren't automatically included in the customer refunded trigger. You can add a manual step to include refund notes from your admin, or customize the workflow to pull additional order details if refund reasons are stored there.

Will this track partial refunds differently from full refunds?

Yes, the "Refund Amount" column shows the actual refunded amount, so partial refunds will display the partial amount rather than the original order total. This gives you accurate refund tracking regardless of whether customers received full or partial refunds.

What happens if a customer gets multiple refunds on different orders?

Each refund creates its own row in the spreadsheet, so a customer with multiple refunded orders will appear multiple times with separate entries for each refund event. This gives you a complete refund history per customer while maintaining individual transaction details.
